Bespoke Automations

The recurring work your team should not be doing.

We design and build practical automations around the way your business already works. From lead follow-up and customer onboarding to document creation and internal reporting, Pembico removes repetitive work without forcing your team to learn another complicated platform.

Built around your existing tools, processes and approval rules.

A managed workflow

  1. 1

    Recurring task

Start with work your team already repeats.

  2. 2

    Approved automation

Run only the steps, rules and systems agreed.

  3. 3

    Human review

Keep judgement and exceptions with the right person.

  4. 4

    Recorded outcome

Log what happened and what needs attention.

Two commercial outcomes

Make more money or give your team time back

Recover Revenue

Automate the work that happens after an enquiry arrives, so valuable opportunities are not forgotten, delayed or lost.

  • Lead follow-up
  • Quote reminders
  • Dormant-lead reactivation
  • Enquiry qualification
  • Proposal follow-up
  • Review requests

If the gap begins with a missed call or website enquiry, start with Phone Cover or Web Cover.

Save Time

Remove repetitive administration, copying, chasing and document preparation from your team's working day.

  • Customer onboarding
  • Document generation
  • Inbox triage
  • Internal reporting
  • Data entry and system updates
  • Staff onboarding

Workflow examples

What can Pembico automate?

The best automation opportunities are usually the recurring tasks your team already understands, but wastes hours completing manually.

Lead follow-up

Automatically follow up new enquiries, unanswered quotations and older leads using the right message at the right time.

A possible workflow

  1. 1Detect a new or inactive lead
  2. 2Send an approved follow-up
  3. 3Record the response
  4. 4Notify the correct person
  5. 5Stop when the lead replies or converts

Customer onboarding

Collect customer information, create records, send documents and trigger the next internal tasks without repeated manual administration.

A possible workflow

  1. 1Send the onboarding form
  2. 2Validate submitted information
  3. 3Create the customer record
  4. 4Generate the required documents
  5. 5Alert the responsible team member

Document workflows

Generate consistent proposals, reports, summaries, forms and customer documents from information your team already holds.

A possible workflow

  1. 1Collect structured information
  2. 2Produce the first draft
  3. 3Apply approved templates
  4. 4Route it for human review
  5. 5Store or send the finished document

Marketing workflows

Turn existing business knowledge into useful marketing output without repeatedly starting from a blank page.

A possible workflow

  1. 1Collect source material
  2. 2Create draft content
  3. 3Route it for approval
  4. 4Prepare channel-specific versions
  5. 5Schedule or store approved output

Inbox and request routing

Identify incoming requests, extract the important information and send them to the right person or process.

A possible workflow

  1. 1Monitor an approved inbox
  2. 2Categorise the request
  3. 3Extract key details
  4. 4Draft or trigger the correct response
  5. 5Escalate anything uncertain

Reporting and internal updates

Collect information from different systems and turn it into clear recurring reports, summaries and management updates.

A possible workflow

  1. 1Gather approved data
  2. 2Identify important changes
  3. 3Generate the report
  4. 4Flag missing information
  5. 5Deliver it on schedule

How it works

Built around your process, not the other way around

1

Free discovery call

We establish whether a ready-to-deploy product solves the problem or whether the requirement is genuinely bespoke.

2

AI Workflow Blueprint

Every bespoke project starts with the £495 Blueprint so the commercial opportunity, baseline and build sequence are agreed before implementation.

3

Implementation proposal

You receive a separately scoped proposal with the recommended sequence, costs, risks and delivery plan.

4

Build, test and launch

Once commissioned, Pembico builds and tests the agreed workflows with clear human oversight and documentation.

Project fit

A good automation project usually has these traits

Strong fit

  • The task happens repeatedly
  • The steps are reasonably consistent
  • Information is already stored digitally
  • Delays or mistakes have a measurable cost
  • A person currently copies, checks, chases or reformats information
  • There is a clear point where human review should remain

Automation may not be suitable when:

  • The process changes every time
  • Nobody agrees how the task should work
  • The source information is unreliable
  • The decision requires substantial human judgement
  • The expected saving is smaller than the implementation cost

Required for bespoke work

Scope it properly before anything is built.

Every enquiry starts with a free discovery call. If the requirement is genuinely bespoke, the next step is the £495 AI Workflow Blueprint. It establishes the baseline, value target, scope and implementation sequence before either side commits to a build.

When the Blueprint is used

£495 once, then credited against the implementation.

It is for work where the process, systems and risks must be mapped before an honest implementation price can be given. You receive the written scope whether or not you proceed.

£495 one-off · required for bespoke work

Commission the mapped implementation within 60 days and the full £495 is credited against it.

  • Recommended implementation sequence

12-month implementation value guarantee

The target scales with the project—not an arbitrary £5,000 claim.

Before implementation, the proposal records one measurable baseline, the evidence source and a conservative 12-month value target at least equal to Pembico's bespoke implementation fee. Value may be verified recovered revenue, staff time saved at an agreed hourly cost, avoided operating cost, or reduced errors and rework. If the launched workflow does not reach that agreed target after 12 full months, Pembico refunds the £495 Blueprint fee.

The guarantee applies where the client supplies accurate baseline and outcome data, keeps the agreed workflow operating, completes the agreed actions and does not materially change the measured process. VAT, third-party charges, client downtime and changes outside Pembico's control are excluded. The signed proposal contains the baseline, measurement method and full claim terms before work begins.

Scope

One operation, properly examined.

The Blueprint covers one business operation or one connected group of workflows, such as lead handling and customer intake, onboarding, marketing operations, documentation, quoting and follow-up, or internal knowledge management.

  • One business operation or one connected group of workflows
  • One findings call and one written Blueprint
  • One consolidated revision for factual corrections
  • Implementation work excluded
  • Integrations and software costs excluded
  • Larger multi-department requirements priced separately
  • Prices exclude VAT where applicable

The free discovery call remains the first step. The Blueprint is required only when the work is bespoke; Phone Cover, Web Cover, Full System and Website Builds do not require one.

Pricing

Bespoke project pricing

Implementation is priced separately from the Blueprint. Every project is scoped around the workflow, systems, risks and level of ongoing support involved, with a fixed proposal wherever the requirements are sufficiently clear.

Focused workflow

Typically from £750

Multi-step automation

Typically from £1,500

Complex or multi-system project

Quoted after discovery

Ongoing monitoring and support

Available where required

No work begins until the proposed workflow, deliverables and price have been agreed.
